The problem

What we built

A receptionist on the main line that answers every call, around the clock, and routes it correctly: real buyers ring the sales reps together so the first available one picks up; warranty and billing go to the office; suppliers are screened; and anyone asking for the owner by name gets one polite qualifying question before anything is offered. Every call the team can't take, day or night, is captured as a complete lead, with name, callback, project timeline, and financing status.

How it performs

Live since June 2026. Across a two-week sample it handled roughly 120 calls. Every transfer it attempted connected, with zero dropped or looped calls on a demanding multi-line office phone system, and it created zero junk records in their CRM. The owner's line is covered 24/7, and no after-hours lead falls through the cracks.

The problem

Hundreds of calls a month, plus paid-ad leads that went cold because no one called them back fast enough. The sales manager could not personally catch every call or chase every form fill.

What we built

A two-part engine. On the inbound side, a receptionist answers the main line, routes real buyers straight to the sales manager, and screens out vendors and solicitors. On the outbound side, a speed-to-lead agent calls every paid-ad form lead within minutes of submission, confirms the project, qualifies the fit, and books a callback directly onto the sales manager's calendar.

How it performs

In a single month the receptionist handled 636 calls, routed 110 of them to the sales team, and screened roughly 60 vendor and solicitor calls so the team never wasted a minute on them. About one in five calls traced back to paid ads, which is exactly the spend the speed-to-lead agent now protects by calling those leads back in minutes instead of hours.

What we built

On every genuine call it writes the lead straight into the CRM as a contact and a job, then immediately assigns it to the owner so it never sits unseen. A built-in filter keeps misdials, spam, and vendor calls from ever creating a junk record, while the team still gets an emailed report on every single call.

This is the depth most off-the-shelf tools simply cannot reach: a phone call turns into an assigned CRM job with no one touching a keyboard, and the pipeline stays clean.
